Just before the doors opened, O Spa’s leads were faced with two imperatives. First they absolutely wanted to be ready for the Christmas shopping rush. Secondly they could not do without an efficient provider of EPOS system provider of EPOS system able to deliver the software and integrated hardware on time. Greg Jenkins, Assistant Operations Director for the group, outlines the situation, “It was essential the stores opened for seasonal trading, so it was a prerequisite for the EPOS supplier we chose that they could deliver to our timeline. Of course, whilst the deadline was critical, we still couldn’t compromise on the system’s functionality.”
“The systems we had initially looked at didn’t do everything we needed of them and the suppliers were unsure as to whether they could work to the plan. As opening dates loomed, Octepos were recommended to us. They nailed the deployment and demonstrated they were committed to our long term goals too,” explains Greg.
On the day of initiation, all tills were functional and staff members received training for understanding and a proper use of the system. “Staff training was delivered on site the morning we opened in Westfield. It’s such a simple system to use that we were up and trading the same afternoon,” says Jenkins.
Greg is also very satisfied with the specific design of hardware and explained in detail how it reflects the brand and the personality of the establishment. “Historically, we have operated the O Spa concept in the cruise market. Octepos impressed from day one, helping to translate our specialism and experience to the high street retail sector. Our spas are real brand cathedrals; everything has to be spot on and that includes the till equipment. Octepos were able to source appropriate hardware and managed the installation; they are very well presented systems and blend in perfectly.”
To stay up to speed with their business, O Spa management needed to receive real time key sales and operations information from all terminals in order to control and treat them centrally. The EPOS company responded to O Spa’s demand, as attested to by Greg, “They host the solution and deliver the data to a secure online portal they provide. We gave them a sketch of the key reports we needed to see each day, and they built them to our specification. The whole system has been painless to set-up and is proving critical to our day to day operations.”
In addition, they were looking for a central and instant coordination regarding any change of products, prices or promotions. To achieve these requirements, the Octepos in-house build team set up a retail EPOS system with two integrated head office software modules: Multi Site Manager and Web Head Office. With fast broadband connections, these applications give head office the ability to see exactly what is happening in every store moment by moment and to modify all touch screens simultaneously.
